Guide to RingCentral Events (RCE)

RingCentral Events is the platform we are using to host our live streaming and catch up videos for replay. 

We aim to stream as much of the programme as we can, and make as much available for replay as we can. However, some items will not be streamed and/or made available for replay, either because it doesn’t make sense for the type of item (e.g. workshops), or because one or more panelists does not wish to be recorded. Pay attention to the “Online” “Replay”  and “No Replay” tags in the Programme Guide to make sure you’re not disappointed.

We will make items available for replay as soon as we are able to. Items will be available for catchup until near the end of December 2024.

RingCentral Events works in all popular browsers on desktop and mobile. Note, however, automatic closed captions for live events are only available in Google Chrome on the desktop. Some items will have human written closed captions, which will be available on all platforms. Closed captions on replay are available on all platforms.

Getting to RingCentral Events through ConClár

  1. If you are in ConClár (the Programme Guide) select the Event or Programme Item you wish to view. When you are on that page, click on the “Watch the Stream” link in the blue description box.
  1. If this is the first time you have visited RingCentral Events for Glasgow 2024, you will be brought to this page. Follow the steps (there are three pages) to get to the item you wish to stream.

(If you have visited RingCentral Events for Glasgow 2024 on this device before, these steps will be skipped)

  1. You will now be in the item inside RingCentral Events

Click on the “Chat about this item” link to be taken to the Discord thread for that item.

Logging in to RingCentral Events from the Member Portal.

  1. Log into the Members Portal (see our How to Log In page)
  2. Click on the “Stream and Replay” button.
  1. Click on the blue “Go to RingCentral Events” button.

If you do not have an Attending or Online Supplement, are not a Day Ticket holder or Hugo Finalist, or are under 16, you will not be able to log in.

Once you are in RingCentral Events (RCE)

Now you’re in! You will see the Reception Page.

Click on the “Schedule” tab to see the schedule of RingCentral Events.

There is a tab for each day, Click on the day to see the RingCentral Events for that day.

Click on the Down Arrow to see the full description of the item. 

The time is listed in your local time zone and in 12-hour time. This screen print was taken in the Eastern (US) Daylight Time zone. If you need to know Glasgow time, add or subtract the hours between your time zone and British Summer Time (Greenwich Mean Time +1). To convert to 24 hour time, add 12 to times between 1:00 pm and 12:59 pm.

Items available via Stages (Panels and Events)

This item is found via the Stages button and is in the Carron room.

Click on the Stages button on your left (laptop) or at the bottom of the screen (phone). A list of all our stages will appear. Scroll down until you see the stage for your desired programme item.

If the previous item is still in session, you’ll see that listed. If it’s within 30 minutes of the item starting, you’ll see a countdown to the item start time

Click anywhere on the black rectangle and you’ll be brought to the stream, if it’s in process. Or you’ll see a countdown if it’s within 30 minutes of the start of the programme item.

To determine if the Programme item will be available for catch up, check ConClár. If there is a “Watch the replay” link, the item will be available for replay until near the end of December, 2024. Note that items won’t be available for replay immediately, but we have a team working on making them available as quickly as we can.

Events with British Sign Language and Captioning

Near the bottom of the list of Stages, is a Stage called “Events with British Sign Language Interpretation”. The Opening Ceremony, Hugo Awards Ceremony, and Closing Ceremony will be streamed via this stage with British Sign Language interpretation. The Stage will open 30 minutes before the ceremony starts.

Items available via Socials and Sessions (Table Talks, Readings, Filk Sessions, Workshops, other interactive items)

This item is found via the Socials and Sessions button.

Click on the Socials and Sessions button on your left (laptop) or at the bottom of the screen (phone). A list of all the Sessions that are currently happening or will open within the next 30 minutes will appear. You can search the tab for today’s date to find your item.

Click anywhere on the grey rectangle (which will not be a grey rectangle when you click. It will show a graphic).

NOTE that you will only see Table Talks and other Programme items with limited space if you have been selected to participate in that Programme item. See below for information on how to sign up for items with limited space.

Click on the blue Share Audio and Video button.

The first time you go to a Session, you will need to give RCE permission to use your camera and microphone.

Click on the Run Pre-Even Check bar to make sure your microphone and camera are working. Then click on the blue “Apply Selection” button.

Captions will appear here.

And you’re in! Enjoy your Session!

Signing up for Programme items with limited space.

On the Member Portal, select the Sign-Ups button in the Programme area. There will be a form there to fill in. Or you can visit the Info Desk in Hall 4 of the Scottish Event Centre (SEC) near the 4A entrance.
